Guides

Keep your team’s vacation calendar close in Slack.

A time-off message can disappear into a busy channel. Give the calendar a permanent place so teammates can check dates whenever they plan work.

1. Prepare the calendar

Create a Parasol board, add your teammates and upcoming dates, and use Copy link in the board header. The link gives access to the board, so choose a channel whose members should all be able to view and edit it. Check whether the channel includes guests or external organisations.

2. Add the link to your channel

In Slack on desktop, open the channel and use the plus button at the top to add a Link. Paste the board URL, give it a recognisable label such as Team time off, and choose or create a folder for it. Workspace permissions can affect who can change channel tabs.

Slack documents the current controls in its guide to channel tabs and links.

3. Explain the habit once

Send a short introduction with the link. For example:

We’re keeping planned time off in this calendar. Please add your upcoming dates and update them when plans change. Check it before scheduling work that needs the whole team. Our usual process for agreeing time off stays the same.

If you enable the optional board password, share that through your team’s preferred channel too.

What happens when someone opens it?

The calendar opens in their browser. They can view the team’s dates and add or edit entries without creating a Parasol account. Updates appear for other people with the board open. See the team calendar setup guide for availability types and holiday overlays.

Does Parasol post automatic Slack messages?

Not currently. This setup shares a link; it does not install a Slack app or send notifications. We’re exploring optional weekly summaries as part of Parasol Plus. You can register interest if that would help your team.
